Existing-account support

Your CRM should
follow through.

Broken workflows, inconsistent pipelines or an unfinished account? Trace the problem, agree the repair and test the process before relying on it.

Digital 4 Jesus · Pretoria, South AfricaScope reviewed

When your CRM needs an audit, not another template.

A GoHighLevel audit traces what should happen against what actually happens in your account. It identifies the cause of failed or inconsistent behaviour and separates necessary repairs from optional improvements.

It is useful when leads reach the wrong person, messages repeat, bookings do not stop reminders, pipeline stages mean different things to different users, or an implementation was abandoned before handover. D4J can assess an existing account before recommending whether to repair a specific process or scope a wider rebuild.

An audit is not permission to switch on dormant campaigns or message old contacts. We agree access and investigation boundaries first.

What we inspect in the agreed process.

From symptom to evidence
AreaChecks to agree
Lead captureForm submission, contact creation, source fields, duplicates and the correct destination.
PipelinesStage definitions, opportunity creation, ownership and the next action for the team.
WorkflowsTriggers, filters, branches, wait steps, re-entry and stop conditions.
MessagingSender configuration, delivery errors, reply handling, consent and opt-outs.
BookingsAvailability, assigned users, time zones, cancellations and reminder behaviour.
IntegrationsPermissions, field mapping, errors, duplicate events and the result recorded in the CRM.
ReportingThe difference between a raw enquiry, qualified opportunity, appointment and recorded sale.

The agreed scope determines which journeys and connected systems are inspected. A single workflow repair and a full account review are different engagements.

Understand the failure. Repair it. Prove the result.

  1. Define the problem

Describe one concrete example: what happened, what should have happened and when. Agree the affected journey, access and test boundaries.

  2. Trace the cause

Inspect the configuration and available execution evidence. Record confirmed faults separately from assumptions, platform limitations and missing information.

  3. Agree the repair

Prioritise the findings, quote the defined work and agree how changes can be reversed. Preserve the relevant configuration and data before changing them.

  4. Test and hand over

Use authorised test contacts and scenarios. Check both the normal path and the conditions that previously failed, then document the change and remaining limitations.

What a useful audit should leave you with.

  • A map of the agreed journey and its connected systems.
  • Evidence-backed findings, with business impact and priority.
  • A distinction between configuration errors, data problems and external dependencies.
  • A repair scope with exclusions, costs and acceptance checks.
  • After approved repair work, a change record and test results for the affected behaviour.

We confirm deliverables in the quote. We do not promise that an audit will recover missing historical data, bypass a provider restriction or prove revenue impact where reliable outcome records do not exist.

Protect the process while it is being repaired.

Testing a CRM can send real messages, create opportunities or trigger connected services. We agree which records, senders and environments may be used before those actions happen. Campaign restarts, bulk imports, record deletion and live payment tests need a specifically agreed scope.

Keep account ownership and business data under your control. Give the access needed for the task, identify who can approve changes and remove temporary access afterwards. If a problem depends on a messaging provider or payment gateway, we document that dependency rather than treating it as a guaranteed local fix.

How is audit and repair work priced?

Audit and repair work is quoted after the affected account and required scope are understood. There is no fixed audit price published here. The quote should distinguish investigation, approved repairs, third-party costs and any ongoing support.

Existing-account remediation is not automatically included in a new-build package or a monthly support allowance. If a rebuild is the better option, compare its scope with the published implementation packages before deciding.

Timing depends on access, the number of affected journeys, available evidence and external support requirements. We confirm a realistic sequence once those dependencies are known.

What to send before the first discussion.

Tell us whether you control the account, which process is failing and what the team needs it to do. A short description of one failure is enough to start. You can mention the connected services and approximate size of the affected workflow set.

Do not send passwords, API keys, exports of customer records or private message histories through the enquiry form. If supporting evidence is needed, we will agree an appropriate way to share it.

Discuss an existing-account repair. Choose “Existing-account repair” in the package field to make the enquiry clear.
