The challenge

An application is more than a form.

Rental Buddies’ team works with applications, supporting documents, affordability checks and CRM stages. A useful verification process has to connect the structured record to the evidence behind it.

Scanned documents, inconsistent bank layouts and ambiguous transactions make that difficult. A generic chatbot cannot safely fill gaps in the evidence, contact applicants freely or overwrite the team’s records.

D4J’s task was to connect the CRM operating process to a specialist agent, with approved rules, controlled updates and a clear route to human review.

The growth foundation

D4J delivered the responsive landing-page structure and copy, visual direction, Google Ads account and campaign structure, keyword research, ad copy, conversion tracking and an A/B testing plan.

The integration resolved contacts, opportunities, custom fields, pipelines, notes and authorised evidence. The probe found 34 linked opportunities across the 30 sample applicants; environment verification returned and mapped 12 CRM pipelines.

Teddy supports Rental Buddies’ approved process. It does not replace staff or make unrestricted adverse decisions. HighLevel supplies the CRM foundation; D4J built the dedicated agent and the custom verification integration.

The verification journey

  1. Collect the evidence

    Retrieve the authorised record and relevant documents. Four core evidence types were integrated: identity document, three months of bank statements, payslip and proof of residence.

  2. Understand the documents

    Extract text or apply OCR, then validate the document type, readability, period and relationship to the applicant.

  3. Apply the approved policy

    Combine document interpretation with deterministic business rules. Reconcile income evidence and consider obligations without inventing missing information.

  4. Calculate or escalate

    Produce a supported provisional amount where possible, identify missing evidence or explain why staff review is needed.

  5. Update the right record

    When authorised checks pass, update the opportunity, verification fields, internal note and audit tags. Fresh-state checks stop conflicting writes.

A traceable decision-support process

A controlled approval case demonstrated stage movement, verification fields, internal notes and audit tags without contacting the applicant. Staff can follow the recorded outcome rather than copy an isolated AI answer back into the CRM.

Hardening covered misclassified income, duplicate transactions, ambiguous linked accounts, stale approvals and staff changes made before a CRM update. Sensitive evidence remains outside ordinary reporting.

Rental Buddies now has a connected verification operating model: authorised evidence flows into the assessment process, and the outcome returns to CRM stages, fields, notes and tags. Uncertainty carries a specific reason for staff review. The system creates a traceable foundation for further automation.

Verification time, manual-review rate, decision agreement, application conversion and revenue impact remain outcomes to measure. No improvement percentage is claimed here.

Internal verification

Six scheduled jobs cover verification and internal routing across approved weekday and weekend windows. A normal scheduled run proved routing without applicant contact.

Phase 2A / Gated

Evidence return

Follow-up and evidence-return controls are engineered and tested. Eight scheduled jobs remain paused pending independent launch approvals. This is not live applicant messaging.

A future sales-support workflow could answer approved questions, gather application information and hand complex conversations to staff. It is not presented as delivered.
